Using AI to compare supplier price sheets and material quotes

Price sheets arrive as PDFs, spreadsheets, and email text in every format a supplier's system can print. A chat assistant can line them up so you see what changed. You still check every flagged line and update the price book yourself.

Where it helps

Lumber yards, distributors, and pro desks send price sheets and quotes in whatever format their system prints. Somebody in the office has to read them, find what changed on the items you actually quote, and update the price book before the next estimate goes out. A chat assistant is good at the reading and lining-up part. It is not a source of prices, and it should never fill in a price the sheet does not show.

The routine

  1. Turn the sheet into a tablePaste the supplier's price sheet text or upload the file, and ask for a clean table of item, description, unit, and price exactly as printed.
  2. Map items to your price bookGive it your own item list and ask it to match supplier items to yours, flagging anything it cannot match instead of guessing.
  3. Compare to last weekPaste last week's table and ask only for what changed: item, old price, new price, and direction.
  4. Compare two quotes line by lineFor the same job, line up two supplier quotes on the same units and list missing items, substitutions, freight, and lead times.
  5. A person updates the price bookYou check the flagged lines against the original sheet and change your price book yourself.

The prompts

Prompt · Price sheet to tableAny chat assistant
Below is a supplier price sheet. Build a table with these columns exactly:
Supplier item # | Description | Unit (each, bundle, LF, box) | Price as printed | Notes
Copy prices exactly as printed. Do not round, convert, or estimate anything.
If a line is unreadable, write UNREADABLE instead of guessing.
[paste sheet text or attach the file]
Prompt · Match to our price bookAny chat assistant
Here is our price book item list: [paste: our item code | description | unit].
Here is the supplier table from above.
Match each of our items to the supplier item that fits best. Output:
Our code | Supplier item # | Unit match Y/N | Confidence (high/low) | Why
List any of our items with no match under NO MATCH. Do not invent a match.
Prompt · What changed this weekAny chat assistant
Last week's matched table: [paste].
This week's matched table: [paste].
List only items where the price, unit, or item number changed:
Our code | Old | New | Up/Down | Note
Then list items that disappeared from the sheet. Do not calculate anything we did not ask for.
Prompt · Compare two quotes for one jobAny chat assistant
Below are two supplier quotes for the same fence job and our material list.
Put them side by side on the same units: Item | Qty needed | Supplier A unit + price | Supplier B unit + price | Missing or substituted?
Then list: freight or delivery charges, lead times or ship dates each quote states, and any item where the units do not match (for example bundle vs each).
Use only numbers printed on the quotes. If a price is missing, write MISSING.
[paste our list] [paste quote A] [paste quote B]
Prompt · Question for the repAny chat assistant
Write a short email to our supplier rep about these lines that look wrong or changed: [paste lines].
Ask them to confirm the price, unit, and item number for each. Friendly, direct, under 100 words. No accusations.

Units are where comparisons go wrong

One sheet prices a picket each and another prices a bundle. One quotes chain link fabric by the roll and another by the foot. Posts show up under different lengths and wall thicknesses. Ask the assistant to flag every unit mismatch instead of converting it, then do the conversion yourself with the supplier's own pack sizes. The takeoff checklist on AI Fence Pros lists the line items worth checking on every job.

Quick answers

Can AI read a supplier price sheet PDF?

Most paid chat assistants can read pasted text and many can open PDF or spreadsheet uploads. Scanned or photographed sheets are less reliable, so always spot-check the table it builds against the original.

Should I let AI update my prices automatically?

No. Let it build the comparison and flag changes. A person checks each flagged line against the supplier's sheet and updates the price book.

Is it safe to paste supplier pricing into a chat tool?

Check the data terms of the plan you pay for, and your supplier's terms if your pricing is confidential. Leave out account numbers, credit terms, and anything you would not want shared.
